Alta Actuaries and Consultants, LLC (“Alta”) believes strongly in protecting the privacy and security of information it collects from individuals such as clients, prospective clients and our website users. This Privacy Policy is intended to inform you of the ways in which Alta collects Personal Information, the uses to which that information will be put, and the ways in which we will protect any Personal Information you choose to provide us.

Personal Information is information that relates to you and can, on its own or in combination with other information, be used to identify you. Personal Information does not include information that has been aggregated or made anonymous in a way that it is no longer possible to identify you as an individual with the information made available to us.

Alta provides consulting services, actuarial services, benefit management and insurance brokerage services. This Privacy Policy covers information we may collect through:

  • Alta’s social media pages (collectively, “Social Media Pages”),

  • software applications we make available for use via web access or through a dedicated application on a computer or mobile device ( “Apps”),

Personal Data Collection

Alta sometimes gathers data containing information about its clients and their employee benefits including, but not limited to, names, industry codes, funding vehicle types, and policy renewal dates, as well as information about the vendors that provide services to its clients.

If you provide us with information about your employee benefit programs or sensitive Personal Information, you understand and give your explicit consent that we may collect and use this information to provide services to you.

If you provide Personal Information about other individuals such as employees, dependents, benefit plan members or insured individuals, you attest that you have their consent or authority to do so prior to your disclosure to us and permit us to use the information in accordance with this Privacy Policy.

We may ask you for some or all of the following types of information when you register for events, request services, manage accounts, access various content and features or directly visit our website. This includes, but is not limited to:

  • Contact information, such as name, e-mail address, postal address, phone number and mobile number;

  • Username, password, password reminder questions and password answers;

  • Communication preferences, such as which newsletters you would like to receive;

When you link your account or engage with us on or through third party social media sites, plug-ins, or applications, you may allow us to have ongoing access to certain information from your social media account (e.g., name, e-mail address, photo, gender, birthday, the posts or the 'likes' you make).

If you post information when you interact with our websites through social media sites, plug-ins or other applications, depending on your privacy settings, this information may become public on the Internet. You can control what information you share through privacy settings available on some social media sites. If you access our websites on your mobile telephone or mobile device, we may also collect your unique device identifier and mobile device IP address, as well as information about your device's operating system, mobile carrier and your location information. Personal Data Use

We process Personal Information which our clients provide to us in order to perform our professional consultancy and consulting services. This may impact you, for example, where you are the employee of our client, or the member of a client's benefit plan. The precise purposes for which your Personal Information is processed will be determined by the scope and specification of our client engagement, and by applicable laws, regulatory guidance and professional standards. It is the obligation of our client to ensure that you understand that your Personal Information will be disclosed to Alta (or to other third party service providers) for your benefit programs.

We also process Personal Information about our clients and the individual representatives of our clients in order to:

  • contact our clients in relation to current, future and proposed engagements;

  • send our clients newsletters, know-how, promotional material and other marketing communications;

  • invite our clients to events

 

Alta may disclose Personal Information to third parties who support our services or operations such as website hosting, email service providers, IT security and maintenance, software developers, accountants, auditors and lawyers. Our third-party support service providers and business partners are subject to security and confidentiality obligations and are only permitted to process your Personal Information for the specified purposes in accordance with our instructions.

Alta may disclose specific client information if required to do so by law, pursuant to legal process or in response to a request from law enforcement authorities or other government officials. Alta may also be required to do so in the event of a sale or merger of the company.

Alta will not sell, rent, lease or otherwise share your Personal Information to third parties other than as outlined in this Privacy Policy or without obtaining your prior consent. Note that Alta may use or disclose information about its clients through the use of aggregated or otherwise de-identified data.

Security

Alta use appropriate organizational, technical, and administrative measures to protect against the loss, misuse, and alteration of Personal Information under our control.

Nevertheless, no security system or data transmission system over the Internet can be guaranteed to be 100% secure. Despite the precautions taken by Alta, Alta cannot guarantee the security of Personal Information transmitted over the Internet or that unauthorized persons will not obtain access to personal data.

When you visit our Websites, Alta may store cookies on the hard drive of your computer or mobile device.

You have the right to access information which we hold about you. You may ask us to correct or remove information you think is inaccurate. Please keep us informed if your Personal Information changes during your relationship with us.

You may also have the right to receive personal data which you have provided to us in a structured and commonly used format so that it can be transferred to a third party designated by you. The right to data transfers only applies where your personal data is processed by us with your consent or for the performance of a service contract with your employer and when processing is carried out by automated means.

Alta reserve the right to charge a reasonable administrative fee in order to comply with your requests, subject to any legal limits. Alta may also refuse to comply with your requests if these are unfounded or excessive, without compromising your rights provided under data protection laws.
